A template allows you to fill a new record with default information automatically. The information that is available or visible to the user depends on their view (page layout) of the object, and the templates that they have permission to use, so they can only see or change the template information that you have already allowed them to see or change.
Permissions are required to work with custom objects.
Enable Templating must be allowed for the object.
Templates speed up data entry by allowing the user to insert all required information at once, and it helps to make sure all necessary information is present. They let take your business processes and requirements and translate them into practical action. Templates allow the user to be faster and more accurate, and provides you with better and more complete information in your records and for your reports.
To use a template all a user has to do is create a new record, then select the template they need from the template list a the top right of the Detail view.
To use templates with an object they must be enabled for that object. Go to Setup > Development > Objects, then click on the name of the object you want to work with. Click on the Object Features tab. Make sure Enable Templating is checked.
Create a new template for the object and enter the information into the template that the user will get when they use the template to create and enter a new record. Go to Setup > Development > Objects, then click on the name of the object you want to work with. Click on the Templates tab.
Click the New button.
Enter a Name and Description for the template.
The template displays the available fields in the object. You only have to enter information in the fields that you want the template to insert into the new record. You can leave the other fields empty.
There are two ways to enter information for most fields.
Type the information that you want the template to insert directly into the field itself.
Click on the Show Tag button and select an option from the list. See Show Tag Details for more information.
If it is a Picklist field, select the option(s) that you want from the list.
If it is a Lookup or Master-Detail field, you can click on the Lookup icon in the field to see the list of available entries.
Note: If a field is a Required field for the record, but you do not know what the information will be, then click the Show Tag button and select the Delete() option. This will let you save the template without having to enter any information for that required field. For example, the Last Name field might be required for all new contacts, but you do not know the name of any new contacts yet. The Delete() tab lets you create the template without having to enter actual information. When a new record is created the user must still enter the Last Name, since it is still a required field.
For some fields you will be able to choose options from the Show Tag list that PerfectMind can calculate and add in. This includes automatically inserting dates and times, user information like email address, and the ability to modify information from a previous record if cloning a record. For example, if you want to set a date for a follow up call for a new lead or customer, PerfectMind can calculate that date by adding 14 days (AddDays(n) where n is replaced by 14 ) to today's date and inserting that date into the field.
When finished entering the template information, click the Next tab.
Set the Profile permissions for the template on the Assignments tab. This determines what users (by their Profile) can see and use the template. If you have multiple locations, select a location. Add the template to one or more of the user profiles on the list.
If you have multiple locations, repeat step 7. for each location that has users who will also need to use the template.
Click Save to finish.
You can change the information in a template by editing it. Go to Setup > Development > Objects, then click on the name of the object you want to work with. Click on the Templates tab.
Click on the name of the template you want to change.
Change the details for the fields.
If you want to change the user profile assignment, click the Assignments tab and check or un-check the user profile(s).
Click Save to finish, or click Cancel to return to the template list without saving any changes.
You can remove a template from PerfectMind by deleting it. Go to Setup > Development > Objects, then click on the name of the object you want to work with. Click on the Templates tab.
From the Templates tab, click on the row with the template's name. Do not click on the template name.
Click the Delete button.
You can have as many templates as you need for each user profile or combination of user profiles. If a user is restricted by their page layout so that they can not see or work with certain fields, they will not see that information or be able to work with it in the template either.
