Grouping allows you to arrange and categorize similar pieces of information together in a report, such as customers, items, locations, etc. Grouping information also makes it possible to create sub-totals on reports, providing you with even more information.
Permissions are required to work in the Setup and with Reports.
The two types or reports that can use grouping are the Summary and Matrix reports. Grouping can also be used in charts based on those reports. Grouping allows you to put information into categories, such as putting the sales records for a each customer all together with each customer, so that at a glance you can see all the sales records related to a particular customer.
PerfectMind allows up to three levels of grouping. For example, a sales report could be grouped by location, then by the customers in each location, then by the sales for each customer. When you group records you can also set the sorting order on the group, so that all the records in the groups are ordered as well. For example, you could sort locations and customers alphabetically, and sales by purchase date.
Starting from the Grouping tab (only available on Summary and Matrix reports):
You can select up to three levels to group by. Each grouping will produce it's own subtotal value on the report automatically.
Click on the drop-down list to select the field to group (subtotal) by.
If your report contains objects that are related to each other through Master-Detail or Lookup Relationship fields, you can select a field from a different object to group by. For example, if you are creating a Sales report and that is linked to your Customers, then you may want to do a grouping by the customer name showing the sales to each customer. Click on the Object Name (Sale) to show the list of related objects, select the Customer object, then choose the field Customer_Name.
Select the Sort Order. For dates, you can group them by day, month, quarter, etc. as well as sorting them.
When you have finished you can click Save or if you are creating a new report, continue to the next tab.
Matrix reports allow you to show different information across the top and down the side. With a matrix report you can group on each axis, and by two levels on each one.
Choose the information that you want to group by for the columns and rows. Each grouping will produce it's own subtotal value on the report automatically.
If your report contains objects that are related to each other through Master-Detail or Lookup Relationship fields, you can select a field from a different object to group by. See above for an example.
