The Security section controls user access to PerfectMind. It is where users are added to your application, user profiles are created and assigned, and roles are set . These determine who can log in and what they can see and do when logged in.
Permissions are required to work in the Setup.
The user services include Users, Profiles, Roles, and Ownership (part of Roles and Profiles). It is where you manage the information about the people who will be working in the application, and people who may have limited access to the application if you are allowing clients or customers access to PerfectMind's self-service features.
Start by creating Profiles, which are sets of user permissions, which is what a person will see and what they can do. Rather than create individual permissions for each user, you add the user to the profile. All users in the same user profile have the same permissions. A user profile could be for sales people, account managers, programmers, members of the same project, etc. Profiles are assigned to different locations so you can reflect your business' organizational structure, geographic organization, or both.
It is easier to set up user profiles and permissions after you have set up or planned how you will be using PerfectMind.
You should set up your regions and locations first, under Setup > Company Setup > Business Units.
Next, create any custom objects that you may need. Simple versions of the objects can be created, then updated later. Or you can skip this, and create objects later.
Next, create the profiles, and assign their permissions.
Finally, add the users and assign them to their profiles.
A profile is assigned to a location. A user can have more than one profile, but each profile must be for a different location.
There are a few different types of profiles in the application.
Owner / Global Administrator: The Owner is the administrative user for the entire application. They have access to and can work in the entire application. They can create and assign permissions to all other users and can create Administrator users. This is part of the application and can not be modified.
Administrator: This user type has full permissions for the location to which they are assigned only. The Owner creates and assigns their permissions, regions, and locations. Local administrators can not change object information, but can work with all records. This is part of the application and can not be modified.
Everyone: This is a default profile. All users share in the permissions and access granted by this profile in addition to their own profile.
Profiles: Permissions are assigned by the Owner or Global Administrator. This can be customized based on what the users for this profile will need to see and do. Usually this is for someone who works with the application but does not have need full administrator permissions and does not do administrator work such as assigning permissions, creating objects, etc. For example, they would run and view reports but not create them. These are created by administrators.
